Some roles come with a predictable to-do list. This isn’t one of them. This role is for the person who enjoys organizing, coordinating logistics, always knows where the meeting is, has the agenda ready, remembers the snacks, and somehow has already thought through what happens next.

ChangeLine is a nonprofit civic hub in the Pikes Peak region that connects people, unlocks ideas, and turns collective power into action.  We’re looking for an onsite Program and Administrative Coordinator in Colorado Springs and Teller County who likes making things happen behind the scenes, keeping people organized, and bringing calm to the chaos of a million moving parts. You’ll support multiple leaders and work across programs, projects, events, communications, grants, and community engagement. You’ll help turn ideas into action, keep details moving, and make it easier for leaders and teams to focus on the work that matters most.

This role is for someone who has an eye for and remembers the things others are too busy to think about. Some days you’ll be coordinating a meeting or an event. Other days you might be updating a website, helping pull together a grant report, tracking expenses, or making sure a deadline doesn’t quietly sneak past everyone. There’s rarely a boring day, and rarely just one thing happening at a time.

The coordination, communication, organization, and follow-through you provide help amplify the impact our program leaders are making and support the systems change work we’re leading.

This position is funded through grant support and contingent upon continued funding availability.


What You’ll Do
  • Coordinate meetings, calendars, schedules, events, follow-up documentation, and all the little details that help a busy team stay organized.
  • Support multiple leaders and work across programs, projects, events, communication, grants, and community engagement, turning ideas into action and keeping the details moving so leaders and teams can focus on the work that matters most.
  • Work across multiple priorities simultaneously to keep people organized, anticipate needs, and manage competing demands.
  • Coordinate programs, projects, meetings, and events from planning through follow-up, keeping track of timelines, deadlines, logistics, deliverables, and the details that make things run smoothly.
  • Use your writing and editing skills to help share what’s happening, including updating the website, drafting newsletter content, event descriptions, announcements, meeting communications, and other materials that need to be clear, engaging, and easy to understand.
  • Support grant-related coordination, deadline tracking, deliverables, reporting, documentation, and communication with funders as needed.
  • Work with leaders to track budgets, expenses, credit card activity, and supporting documentation.
  • Support community meetings, events, volunteer activities, and other engagement efforts, traveling locally and interacting with community members, vendors, and key stakeholders.
  • You’ll need to take direction, ask good questions, use sound judgment, and determine what needs to happen next.
  • Take initiative to solve problems before anyone asks, noticing all the details to ensure the work is completed thoroughly and with precision.
  • This role includes weekly local travel within a 100-mile radius, up to 65% of the workweek.
What You’ll Bring
  • 3+ years of experience in administrative support, program coordination, office management, communications, community engagement, or a related field.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and support multiple leaders.
  • Strong writing, editing, and proofreading skills.
  • Comfort with basic financial administration, including budgets, expenses, and reconciliation. You don’t need accountant-level skills, just comfort in working with numbers, details, and basic financial information.  
  • Experience coordinating projects, meetings, events, or other work with multiple moving parts.
  • Strong interpersonal skills and the ability to build relationships with a wide range of people.
  • Good judgment, initiative, and a willingness to figure things out.
  • Comfort using Microsoft Office, meeting technology, collaboration tools, and common project management software.
  • Responsiveness, flexibility, and adaptability in a fast-moving environment.
  • Reliable transportation and the ability to travel locally within a 100-mile radius for up to 65% of the workweek.
